Job Description :


This position is responsible for all account payable functions, and provides administrative support for the department as assigned by the Director.




Accounts Payable Responsibilities

·       Responsibilities to include, but not limited to,

o   Process Electronic Purchase Orders assuring all are properly approved and processed

o   Review invoices for appropriate documentation and PO approval prior to payment

o   Print and obtain signatures on all account payable checks

o   Distribute or mail checks as required

o   Maintain accounts payable reports, spreadsheets, and corporate accounts payable files

·       Process and post credit card transactions

·       Reconcile and verify credit card statements

·       Research and solve payment discrepancies


Administrative Responsibilities

·       Process memorials and honorariums acknowledgement letters

·       Handle administrative responsibilities for Finance department, to include, but not limited to,

o   Responding to phone calls

o   Opening and distributing mail

o   Department correspondence and filing

·       Coordinate sorting and mailing quarterly and year end contribution statements

·       Organize/maintain departmental supplies and storage

·       Coordinate organization wide shredding days


Department Responsibilities

·       Backup for contribution posting and deposits

·       Backup for contributions questions from members and other donors

·       Backup for office supply ordering & approvals

·       Provide backup support for receptionist



·       High level of competency in Microsoft Office software (Word, Excel, and Outlook or MS365) with ability to learn computer programs quickly and use them proficiently

·       Understanding basic finance and budgeting processes

·       Effective written and verbal communication skills

·       Excellent organizational skills with strong attention to detail and accuracy and the ability to work independently, multi-task, prioritize, and manage time

·       Adaptable and flexible in a changing work environment while approaching tasks and duties with a positive attitude

·       Ability to handle sensitive information with the highest degree of integrity and confidentiality

·       Self-starter who takes initiative and anticipates needs of the department

·       Enjoys a team environment and is service-oriented




Work Environment

This job operations in a professional office environment.  The employees are currently working remotely, but will return to the office at some point. This role routinely uses standard office equipment.


Physical Demands

While performing the duties of this job, the employee will be in an office environment.  Position is mostly sedentary and is required to talk, hear, stand, walk, and sit.  Employee must occasionally lift or move office supplies or other items up to 25 pounds.


Expected Hours of Work

Days and hours of work are Monday – Friday, 8:00a – 4:30p, 40 hours per week.  Position may require additional hours during certain projects.


Required Qualifications :

  • Associates degree in accounting or related field required 

  • Two (2) to Three (3) years’ experience in bookkeeping or accounting (non-profit experience is preferred)

  •  Experience with large database programs and financial software preferred
