Job Description :

Our publicly traded healthcare client located in Brentwood is seeking a Corporate Development Administrative Assistant to support the corporate development executive team in a variety of administrative and project duties. 


 


Administrative



  • Answering the phone for all corporate development inquiries and forwarding to appropriate associate

  • Monitoring executive’s calls and answering if not available

  • Gathering and distributing to the appropriate department or associate based on topic and content

  • Creating shipping labels and handling any packages that need to be sent to communities or outside vendors

  • Booking and setting up conference rooms for multiple departments

  • Ordering food if necessary and setting up in the room

  • Greeting guests and escorting to the appropriate room

  • Maintaining the executive’s calendar, which includes monitoring all meeting invites and creating invites if needed

  •  Keeping the executive informed if new meetings pop up during the day

  • Managing the executive’s time and making sure they are on time for all meetings

  • Booking travel for the executive and about six other associates in the department

  • Maintaining the expense reports for the executive and about six other associates, which includes the following:

  • Gathering receipts

    • Uploading into the online system

    • Correctly coding all expenses to specific projects (if necessary)




 


Projects and Leased Properties


Financials



  • Running financials – includes Income Statements and Rent Rolls. Three main people will request different financial documents throughout the month.

  • Creating Rent Roll Analysis when requested


Refinancing and Dispositions



  • Maintaining the monthly payments for about 100 buildings . 

  • This includes the following:





    • Verifying all invoices that come through with the recurring payments setup

    • Creating check requests for electric charges and other miscellaneous charges as needed

    • Having new leases executed and setup in our system

    • Maintaining the master spreadsheet of all lease information




Required Qualifications :


  • Business degree with strong Excel, organizational and time management skills.  

  • Self-directed with the ability to work with limited direction.
